Job Type: Entry-Level; Full-Time; Monday – Friday 9:00 AM to 6:00 PM

 

Invictus Globe is a Supply Chain Solutions Provider specializing in Transportation Logistics and electronics refurbishment retail and wholesale. We need a general office administrative assistant who is a quick learner, detail-oriented, able to take on multiple tasks, organized, and efficient.

Office Administrative Job Responsibilities:

General Office Administrative:

  • Supports company operations by maintaining office systems.
  • Assist in general office administrative jobs and tasks.
  • Maintains office services by organizing office operations and procedures.
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.

Account Payable and Receivable/Bookkeeping:

  • QuickBooks entries
  • General bookkeeping; provide accurate and timely accounting support
  • Prepare billing, verify balances and entries, calculations, and postings
  • Correctly record and classify all transactions in the company’s accounting program
  • Process and cut checks for all vendor invoices with proper approvals in a timely manner
  • Record financial transactions and other account information to update and maintain accounting records
  • Overseeing cash flow management and preparing weekly financial reports and analysis
  • Monthly bank and credit card reconciliations
  • Manage POs and vendor issues

Transportation Logistics Coordinating:

  • Scheduling daily loads and shipping requests
  • Communicating with freight carriers and negotiate rates
  • Tracking/Tracing orders using online TMS
  • Update load status and communicate with customers
  • Manage Shipper and Carrier relationships

Education, Experience, and Licensing Requirements:

  • High school diploma, GED, or equivalent
  • Entry-level, no experience required
  • Proficient with Microsoft Office software–Word, Excel, PowerPoint
  • Quickbooks proficient
